Company Procedures

ClinPhone has established procedures in place to support its Environmental Policy and these procedures help ensure that ClinPhone’s impact on the environment is minimal. Our procedures are as follows:

Non-sustainable resources1
Use of all non-sustainable resources are monitored, excess usage examined and, where practicable, measures introduced to reduce the use of all non-sustainable resources. Training and information has been supplied to employees to promote awareness.

Recycling
Where practicable, all waste products are recycled using licensed carriers and an appropriate waste transfer note is obtained as needed. If legislation exists surrounding recycling for a particular product, ClinPhone proceeds in full compliance.

Controlled Waste2
Controlled waste is collected by a suitably licensed carrier for appropriate destruction. A waste transfer note is obtained as needed.

Paper
Confidential paper is destroyed in accordance with Company policy and industry standard. Non confidential paper is separated out for collection. Both types are sent for recycling and a waste transfer note is obtained as needed.

Washroom Facilities
Washrooms are furnished with paper products which support renewable resources or are made from recycled products. Efforts are made to reduce waste wherever possible. Sanitary waste disposal is conducted by a licensed carrier and a waste transfer note is obtained as needed.

New Builds and Refurbishments
The Company examines the environmental impact of any new build or refurbishment it undertakes. Consideration into the use of renewable resources and energy saving devices is made at the design stage with environmental friendly features employed where possible (i.e., the use of insulating materials and temperature control devices).

Purchasing Policy
The Company seeks to ensure that suppliers and contractors are sympathetic to our environmental policy and we have adopted an environmentally sensitive purchasing policy. Recyclable, biodegradable and sustainable products are chosen over other alternatives, where possible.

Plant and Maintenance
Plant, systems and associated equipment are checked and maintained to a standard which ensures that they run as efficiently as practicably possible. New plants purchased will meet all legislative requirements and the environmental impact will be taken into consideration at the procurement stage, assessing energy efficiency of all new appliances.

Training and Information
All employees have been given appropriate information and training regarding their responsibilities in relation to ClinPhone’s Environmental Policy. We also seek to promote good environmental practice in our day-to-day business operations.

Management Arrangements
ClinPhone has established a Focus Group to monitor progress on a regular basis, to identify areas for improvement and prevent potential deficiencies in current practices. The Focus Group reports directly to the Senior Management Group. Through this structure, we aim to set new and achievable targets to further reduce our environmental impact and best incorporate these into the day-to-day business operations.

1Non-Sustainable Resources refers to finite resources such as fossil fuels which although can be substituted cannot be replaced.
2Controlled Waste refers to waste that requires specialist destruction (not normally land fill).
